BeatRoute New Features (Release 9.8.0 - Mekong)

We are pleased to announce Release 9.8.0 (codenamed Mekong) of our Sales Team Android App and Brand Panel, launching next week. This release introduces a purpose-built Expense Management workflow and Balance Confirmation for customer outstanding as its two major enhancements, along with several functional scalability upgrades across the platform.


1. Introducing Expense Management Workflow with Company Policies & AI-Based Fraud Detection

Expense management was always possible through Custom Workflows — we are now introducing a dedicated Expense Management template that brings expense-specific AI and a purpose-built experience for admins, managers, and frontline. A single workflow now covers structured submission, policy validation, automated travel reimbursement, fraud detection, and payment visibility.

  • Expense Types & Designation-Level Policy Limits: Claim limits can be configured for each expense type at the designation level.

  • Automatic Travel Reimbursement: For local travel claims based on actual distance travelled, reimbursements can be generated automatically using the distance BeatRoute already tracks.

  • AI-Based Fraud Detection: Where enabled, the system flags suspicious submissions, location mismatch between the bill city and the user's captured activity city, duplicate bills across users, and policy-limit violations, and surfaces them to approvers to act upon.

  • Approval & Payment Tracking: Individual bills can be fully approved, partially approved, or rejected through a configurable approval workflow, and with Payment Tracking enabled each entry carries a Pending / Paid status so users know when reimbursements have been processed.

2. Revamped Balance Confirmation Nudges for Customer Outstanding


BeatRoute now lets brands ask their channel partners to confirm their outstanding account balance on a defined cycle. This brings transparency to the brand–partner financial relationship and creates a traceable, auditable record that protects both sides in the event of a payment dispute.

  • Configurable Confirmation Cycle: A single configuration under Payments settings defines the Start Month and Frequency, determining when partners are asked to confirm their closing balance.

  • Statement of Account in the Customer App: Partners can download the integrated Statement of Account directly from the Customer App while confirming, reusing the existing client API integration with no new setup required.

  • In-App Prompt with WhatsApp Nudges via Cuesbot: A login prompt shows the partner the period and closing balance to confirm, backed by configurable WhatsApp nudges, a due alert, a reminder until confirmation is completed, and a success confirmation.

  • Sequential Confirmation: If earlier cycles were missed, confirmation always resumes from the last confirmed period and rolls the open months together, so no balance goes untracked.

  • Traceability & Finance Visibility: Every confirmation is logged in a back-end report under Customer Sales → Receivables, with one row per partner per period showing Confirmed / Pending status, closing balance, confirmation date, and the confirming user. This gives finance teams an auditable record for follow-up and dispute resolution.


Miscellaneous Functional Scalability Upgrades

The following improvements have also been introduced as part of our ongoing platform refinement.

  • Custom Workflow responses can now be downloaded as a clean, formatted PDF from both the Sales Team App and the Admin Portal, making it easy to share a signed survey form or a loyalty enrolment confirmation with a customer or internal stakeholders.

  • When an Activity Sequence has activities marked Mandatory, the app now blocks checkout from a customer until they are completed, closing the earlier gap where users could bypass them via 'Later' or the back button.

  • The default customer list view can now be set to Sub-type Level or Class Level grouping in addition to the existing Route Level, List View, and Map View options, which is especially useful for teams managing many customer segments.

  • Monthly visit target setting can now be restricted to specific customer segments, so teams set targets only where the company wants to drive focus.

  • Custom Workflows now support Audio as a response input on both iOS and Android, so field teams can capture customer feedback or complaints as a voice note of up to five minutes instead of typing them.

  • Customer Name is now a configurable attribute within customer profile access control, letting Admins independently decide whether the sales team can edit it.

  • A new configuration can make adding an associated customer mandatory during creation for selected segments, such as linking a new farmer to area dealers or a new dealer to area distributors where the association is currently easy to miss.

  • Two new columns, last_modified_date and last_modified_time, have been added to the Returns download to capture when a return's status was last updated in DMS.
